General Summary The Wildwood Events Coordinator supports the Sr Manager, Marketing Partnerships Experiences and the Sr Wildwood Events Producer with administrative assistance and event planning for the Wildwood theatrical release campaign. *This will be a temporary 10-month position. Job Functions Facilitate agenda preparation, note-taking, and follow-up tracking for meetings with external partners, agencies, and vendors. Organize shared team files, data, and marketing assets in Microsoft SharePoint. Update and maintain relevant project details in project management software (i.e., Airtable, ShotGrid). Provide coordination support across events, brand activations, partnerships, and related initiatives. Maintain operational support for various projects by handling scheduling, travel bookings, event logistics, and expense reports. Facilitate communication with external partners, agencies, and vendors, and manage related administrative needs including invoicing, billing, scheduling, and calendar coordination. Assist with on-site event operations, providing administrative and logistical support during live events, as needed. Qualifications 2 - 3 years of relevant work experience in administrative support, coordination, or event management. Strong organizational skills with the ability to multi-task, prioritize, and thrive under pressure while meeting deadlines in a fast-paced environment. Data entry and database management experience; accounting and invoicing experience preferred. Strong creative problem-solving and critical thinking skills. Excellent written and verbal communications skills with the ability to interact with internal departments and external partners, agencies, and vendors while demonstrating a high degree of professionalism. Ability to work both individually and collaboratively.
