JOB SUMMARY
The Senior Executive Assistant to the CEO provides high-level administrative support to company leadership, ensuring the smooth operation of executive offices by managing information requests, performing advanced administrative functions, and facilitating efficient communication and scheduling. This role involves preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings and travel. Additionally, the Senior Executive Assistant is responsible for maintaining office space, managing executive and conference room calendars, handling incoming mail and phone inquiries, and leading administrative projects.
This is an onsite position at our company HQ in Doral, FL.
ROLE RESPONSIBILITIES
The Executive Assistant job description is intended to highlight major responsibilities within the role, but it is not limited to these items.
Manage complex calendars, appointments, and correspondence for executive leadership and/or assigned employee groups.
Act as a liaison between the Doral corporate office and other company office locations.
Coordinate and arrange travel plans for executive leadership and/or assigned employee groups, ensuring efficiency and cost-effectiveness.
Perform advanced office duties, including ordering supplies, monitoring inventory, and ensuring the maintenance of office equipment such as computers, copy machines, and fax machines.
Manage the front desk receptionist with overall responsibility for sorting and distributing incoming correspondence, and maintaining the office space, including organization, supplies, and amenities, ensuring a professional and efficient work environment.
Assist in the onboarding and training of staff members and new hires, providing guidance and support to ensure a smooth transition.
Implement and oversee programs as directed by management, ensuring successful completion and adherence to company policies and goals.
Generate memos, emails, and reports as required, responding to information requests promptly and accurately.
Handle incoming calls and serve as a backup receptionist when needed, ensuring professional and courteous communication.
Recognize and address any operational inefficiencies, recommending and implementing improvements to enhance office operations.
Assist in special projects and initiatives as assigned, demonstrating flexibility and a proactive approach.
EDUCATION, TRAINING, AND PROFESSIONAL EXPERIENCE
Bachelor's degree preferred; High School diploma or GED required.
Five (5) or more years of relevant experience in an executive support role required. Experience in a corporate office environment is highly preferred.
Proven experience in managing complex schedules and travel arrangements for senior leadership.
Bilingual in English and Spanish is required.
PROFESSIONAL COMPETENCIES
Advanced proficiency in MS Office, with expertise in Microsoft Word, PowerPoint, and Excel.
Proficiency with modern office applications and systems like Concur and Oracle.
Strong analytical skills with the ability to revise operating practices to improve efficiency.
