Salary: USD $874 monthly Schedule: Monday–Friday, 8:30 AM – 5:30 PM EST Seniority: Mid‑Senior Work Type: Administrative / Client Communication Interviews: Zoom About the Role We are a fast-growing Florida-based real estate law firm seeking a highly responsive, energetic, and professional Receptionist / Legal Assistant to serve as the front line of client communication. This role is critical to our daily operations. You will manage inbound calls, emails, scheduling, and light administrative and document-related tasks that keep matters moving efficiently for attorneys and paralegals. Excellent English, strong organization, and a positive, solutions-first mindset are essential. Key Responsibilities Serve as the primary point of contact for clients: answer, triage, and route multi-line phone calls professionally. Respond promptly to general inbox inquiries with clear and polished communication. Manage calendars for attorneys and paralegals, including scheduling calls, meetings, and key dates. Coordinate Zoom meetings and send reminders as needed. Maintain well-organized digital files and matter records. Assist with basic document preparation, intake forms, and checklist updates. Support administrative workflows such as data entry, correspondence, mail scanning, and e‑filing support as directed. Collaborate closely with attorneys, paralegals, clients, lenders, brokers, and third parties to ensure timely follow‑through. Handle sensitive information with discretion and confidentiality at all times. Qualifications C1-level English or higher with polished, professional written and verbal communication. (Minimal accent required) 2+ years of experience as a receptionist, administrative assistant, or virtual assistant in a professional services environment. Strong proficiency with: Multi-line phone systems Email and case‑management tools Calendar and scheduling platforms Zoom / Teams Excellent organization skills, attention to detail, and time management. Proven ability to work in a fast-paced environment while remaining calm, responsive, and professional.
