About the role
D-Wave is seeking a highly organized and proactive Office Manager to manage the day-to-day operations of our Burnaby, BC office. In this role, you will be the central point of contact for employees and visitors, ensuring a smooth, welcoming, and efficient office environment. You will thrive in a fast-paced, dynamic workplace, balancing multiple responsibilities while maintaining a high standard of professionalism and attention to detail.

What you'll do
Front Office & Reception
Greet guests and manage the front office, ensuring a professional and welcoming environment.
Serve as the primary contact for office-related inquiries, directing employees and visitors appropriately.
Manage temporary employee, contractor, and visitor access, maintaining accurate records.
Maintain office spaces, including kitchens, meeting rooms, and shared areas, ensuring they are organized and well-stocked.
Administrative Operations
Order and track office supplies, catering, business cards, and other resources to ensure uninterrupted operations.
Coordinate vendors and service providers for programs such as coffee/snacks, recycling, and seasonal health services.
Maintain and update the Front Office & Administrative Standard Operating Procedures.
Utilize collaboration and office systems such as Slack, Zoom, and workplace booking systems to streamline operations.
Events & Employee Engagement
As member of the Social Committee plan and support social events, employee activities, and seasonal initiatives.
Assist with new hire onboarding, including facility tours, workstation setup, and access provisioning.
Coordinate lab tours, internal events, and visitor logistics, including NDAs, catering, and meeting arrangements.
Collaboration & Compliance
Partner with IT and Facilities to manage shared office spaces, Flex Desk scheduling, and temporary access systems.
Coordinate shipping and receiving for incoming and outgoing packages.
Serve as office First Aid Attendant, maintaining supplies and compliance with Occupational First Aid Level 2 requirements.
About You
5+ years of professional administrative or office management experience.
