About The Role
Rippling is looking for a strategic, always-one-step-ahead Executive Assistant to support our Bangalore Site Leadership. Partnering with two key leaders (Sales and Engineering), you will act as a resident administrative guru, making executive time more efficient and productive, and ensuring the success of our India presence. We are running hard in a hyper-growth environment with fast-changing priorities, and we need your organizational skills to keep us on track.
This is a hybrid role. We expect you to be in our Bangalore office for 3 days in the week; Mon, Tue and Thurs.
What You’ll Do
Manage complex calendars, including scheduling and preparation for internal and external meetings, interviews, 1:1s, and team events, frequently crossing time zones
Ensure executive time is spent on the highest priorities, shifting non-pressing engagements and to-dos to accommodate urgent needs, communicating the changes thoughtfully
Proactively take on and own projects from ideation to execution and post-mortem
Coordinate and run site-level leadership events, such as All Hands, Town Halls, and manager meetings
Prepare and edit presentations, communications, and other documents
Provide end-to-end coordination and on-site support for visiting global executives, including multi-day agendas and events
Participate in select meetings, making sure attendees are aligned and leave with clear action items
Organize domestic and international travel for your executives and team offsites (as needed)
Partner with Sales, Marketing, and Workplace teams to execute India Sales branding initiatives, mixers, and socials
Manage vendors, venues, timelines, and on-site logistics
Build strong cross-functional relationships, and advocate and promote company culture
What you will need
5+ years of experience managing complex calendars and optimizing schedules in a fast-paced environment
A “true ownership” mindset -- you are invested in the success of your executives and feel fully responsible for outcomes, not just tasks
Hungry go-getter with the ability to anticipate needs and stay several steps ahead
Exceptional organizational skills and a relentless drive to bring structure to anything and everything
Demonstrated ability to listen, collaborate, and communicate effectively while remaining calm under pressure
Strong business judgment with the drive to research and exhaust all options in the pursuit of creatively solving problems
Startup background or experience working in a hyper-growth environment preferred
