We're looking for a Senior Workplace Experience leader to own our Toronto hub— our largest and fastest-growing office. This role blends operational excellence, expansion program leadership, and systems design. This role blends operational ownership, expansion program leadership, and systems design. You will set the bar for service, experience, and execution in Toronto while contributing to how Workplace Experience scales across hubs. You will ensure our office runs smoothly today — and scale it thoughtfully for tomorrow. OFFICE OPERATIONS - Own end-to-end daily operations of the Toronto hub - Ensure the office is fully operational each day (supplies, equipment, cleanliness, access) - Manage visitor experience and frequent daily interruptions - Coordinate weekly lunches, pantry services, and office programs - Triage requests through the ticketing system and drive resolution - Build SOPs and standards that reduce reactive work over time Operations always come first, even during expansion. BUDGET & VENDOR MANAGEMENT - Own the monthly Toronto office budget and forecasting - Negotiate and manage vendor contracts - Identify cost efficiencies without sacrificing experience - Submit accurate reporting and manage invoice reconciliation - Maintain strong vendor and building management relationships STRATEGIC PROJECT MANAGEMENT – TORONTO EXPANSION We are expanding into a new floor. You will lead operational coordination for this buildout. - Act as project manager for the office expansion - Coordinate contractors, designers, electricians, and internal stakeholders - Track timelines, risks, and dependencies - Provide proactive, executive-ready updates to leadership - Anticipate operational needs as the space and headcount grow - Balance expansion demands while maintaining daily operations AI-ENABLED OPERATIONS Homebase is an AI-first company. AI fluency is required in every role. In this position, you will: - Use AI tools to streamline workflows (vendor research, budget tracking, project planning, documentation) - Identify repetitive operational processes and improve them using AI - Deliver at least one measurable workflow improvement within your first quarter CROSS-HUB INFLUENCE & STANDARDS As the senior workplace leader in Toronto, you will: - Partner with Workplace Experience peers across hubs to align service standards - Contribute to evolving the Workplace Experience operating model - Share documentation, playbooks, and improvements that scale across offices - Act as a mentor and thought partner within the Workplace Experience team 🚀 The Foundation for Success - These are the experiences and strengths that will set you up for success in this role: - 5+ years in workplace experience, facilities, operations, hospitality, or similar roles - Proven experience leading office relocations or buildouts - Experience managing contractors and external stakeholders - Budget ownership and vendor negotiation experience - Strong written and verbal communication skills - Ability to operate independently without close supervision - Strategic thinking, able to plan 3–6 months ahead - Experience building SOPs and scalable systems - Active experimentation with AI tools in your workflows - Reliable Monday–Thu ...
