Recruiting Operations Lead OUR MISSION Reflection’s mission is to build open superintelligence and make it accessible to all. ABOUT THE ROLE We’re looking for a Recruiting Operations Lead who doesn’t just keep the trains running — they rebuild the tracks. This person owns the systems, processes, and infrastructure that make our hiring engine work. They’re part strategist, part project manager, part candidate experience owner, and fully committed to making recruiting feel seamless from the inside out. This isn’t a “set it and forget it” role. You’ll be hands-on — building workflows in Ashby, coordinating interviews, greeting candidates, and driving projects from idea to execution with zero hand-holding. You bring intensity, ownership, and a bias for action. WHAT YOU’LL DO You’ll own and optimize our recruiting operations stack, with Ashby as the backbone — pipeline reporting, workflow automation, interview scheduling infrastructure, and data integrity. You’ll also own recruiting coordination and the end-to-end candidate experience. That means managing complex scheduling across time zones, greeting candidates on-site, preparing interviewer prep docs and scorecards, and making sure every touchpoint — from first outreach to offer close — is tight, professional, and human. You’re the reason interviews run on time and candidates leave impressed. Beyond the day-to-day, you’ll lead process improvement projects: auditing our hiring funnel, identifying bottlenecks, building dashboards, rolling out new tools, and partnering with recruiters and hiring managers to make the whole system better. You’ll be the person the team turns to when something needs to get figured out — and fast. REQUIREMENTS - 3+ years of experience in recruiting operations, recruiting coordination, or a combined role - Hands-on experience with Ashby (building workflows, managing pipelines, reporting) preferred - Strong project management skills with a track record of driving initiatives independently - Experience owning interview scheduling and candidate-facing coordination - Highly organized with sharp attention to detail and strong follow-through - Based in or able to commute to New York for on-site candidate hosting - Comfortable working in a fast-paced environment where priorities shift and scrappiness matters WHAT WE’RE LOOKING FOR You’ve done this before. You have meaningful experience in recruiting operations, recruiting coordination, or a similar role — this is not an entry-level position. You’ve worked in Ashby and know your way around it (or can ramp in your sleep). You’re a natural project manager who can juggle competing priorities without dropping the ball. You’re organized, resourceful, and relentless about follow-through. Most importantly, you have drive. You don’t wait for permission. You see what needs to happen and you make it happen. You care about the details but never lose sight of the bigger picture. NICE TO HAVE Experience with reporting and analytics in Ashby, familiarity with other ATS platforms, and comfort working cross-functionally with People, Finance, or IT teams. Bonus if you’ve built rec ops processes from scratch or scaled them through a period of growth.
