Executive Assistant ABOUT PIVOTAL HEALTH Pivotal Health is the leading technology platform that helps healthcare providers get paid fairly in an increasingly complex reimbursement landscape. Today, many providers face persistent underpayment from health insurance companies, despite delivering high-quality care. While processes like IDR (Independent Dispute Resolution) were designed to promote fairness, they’re often administrative-heavy, time-consuming, and difficult to navigate without the right tools. Pivotal Health combines software, data, and service into a seamlessly integrated, AI-driven platform that simplifies these complex reimbursement workflows. We help providers efficiently dispute underpaid claims, reduce administrative burden, and recover the reimbursement they’re entitled to; without adding more work to already stretched teams. Our full-service IDR solution is just the starting point. We’re building solutions that enable providers to operate with clarity, control, and confidence across the reimbursement journey. THE ROLE We’re looking for a highly organized, proactive, and resourceful Executive Assistant to support our Executive team. This is not a traditional EA role—you will operate as a strategic partner, helping executives stay focused, prepared, and operating at their highest level. You thrive in ambiguity, anticipate needs before they arise, and bring structure to fast-moving environments. You’re energized by being at the center of the action and take pride in enabling others to succeed. WHAT YOU’LL DO Executive Support & Prioritization - Manage complex calendars across multiple executives, prioritizing effectively and ensuring alignment with company goals - Coordinate internal and external meetings, including agendas, prep materials, and follow-ups - Act as a gatekeeper and strategic partner, protecting executive time while ensuring accessibility Operations & Execution - Drive key operational workflows (e.g., meeting cadence, leadership rituals, offsites) - Track action items and ensure follow-through across executives and teams - Support cross-functional coordination and communication Communication & Stakeholder Management - Draft and manage internal and external communications on behalf of executives - Interface with board members, investors, partners, and senior stakeholders - Maintain confidentiality and professionalism in all interactions Travel & Logistics - Plan and manage detailed travel itineraries, often with shifting priorities - Coordinate team events, offsites, and executive-level meetings Process Improvement - Identify inefficiencies and proactively build systems to improve how executives operate - Bring structure and clarity to ambiguous or evolving processes WHAT WE’RE LOOKING FOR - 5–8+ years of experience supporting multiple executives in a fast-paced environment (startup or high-growth preferred) - Proven ability to manage competing priorities and stay organized under pressure - Exceptional communication skills (written and verbal) - High level of discretion and professionalism - Strong problem-solving mindset with a bias toward action - Comfortable with ambiguity and rapid change - Proficiency with tools like Google Workspace, Slack, Notion, etc. WHAT MAKES YOU STAND OUT - Experience supporting executives in healthcare, tech, or venture-backed startups - Strong operational instincts - you don’t just execute, you improve how things work - Ability to influence without authority and keep teams aligned - High ownership mentality, meaning you see something broken and fix it WHY YOU’LL LOVE WORKING HERE We’re a collaborative, low-ego team on a mission to make healthcare reimbursement fairer for providers.
