Job Description
<p>We’re looking for a Workplace Coordinator to join our Workplace team, bringing a warm, welcoming presence and a genuine passion for creating great everyday experiences at work. While the role sits within our Workplace function, this position will be the first point of contact for our office, owning the receptionist desk and helping create a friendly, professional front-of-house experience. This role offers a wonderful opportunity to grow your skills in office operations, facilities coordination, and employee support through hands-on experience and mentorship.</p>
<p>This role is based in our Warsaw office and requires working from this office Monday through Friday. If you're interviewing for this role, your recruiter will share more about the in-office requirements. </p>
<p><strong>Our employees in Poland are employed under a contract of employment.</strong></p>
<p><strong>What you’ll achieve:</strong></p>
<ul>
<li>Greet all visitors to the Asana office with a calm, helpful, and hospitable approach</li>
<li>Ensure all guests sign in properly and adhere to Asana’s Guest Policy</li>
<li>Receive all incoming packages/mail and distribute or put away in a timely fashion</li>
<li>Handle business-related shipping requests</li>
<li>Manage office and employee materials, such as deliveries, keycards, parking passes, and the lost and found</li>
<li>Take pride in and improve our office’s appearance, including but not limited to our reception area, common spaces, and meeting rooms</li>
<li>Perform opening and closing duties of office</li>
<li>Create a positive employee experience for Asanas by providing exceptional operational/Workplace support.</li>
<li>Liaise with the building and external vendors as needed</li>
<li>Coordinate and assist with various projects such as new hire onboarding, calendar assistance, and video wall content</li>
<li>Assist the Workplace Lead/Manager with managing the day-to-day running of operations in the office ensuring services are provided in an efficient manner. Including but not limited to vendor management, reception, deliveries, kitchen stock, waste management, repairs maintenance and office supplies, etc.</li>
<li>Assist the Workplace Lead/Manager with coordinating office wide events, celebrations, and traditions, in partnership with the Internal Events and the Employee engagement teams. Be a cultural role model for other Asanas.</li>
<li>Partner with People and IT to ensure organised onboarding of new employees and ongoing smooth operational support.</li>
<li>Maintain a clean, organised, and professional office environment at all times by ensuring all areas are well stocked and properly maintained.</li>
</ul>
<p><strong>About you</strong></p>
<ul>
<li>Ability to work a set schedule of 9am-5pm, Monday through Friday</li>
<li>Highly organized with the ability to prioritize multiple functions and tasks while managing time efficiently</li>
<li>Approachable and able to build relationships with Asanas and visitor</li>
<li>Ability to wear many hats (and switch them often!)</li>
<li>Fluency in both Polish and English (spoken and written) is required. </li>
<li>Be a clear and effective communicator, both written and verbally</li>
<li>Proactively ask questions and ask for help if needed</li>
<li>Must be punctual and demonstrate follow-through to commitments and expectations</li>
<li>Learn our culture and processes quickly in a fast paced, ever-changing environment</li>
<li>Professional, articulate, and friendly personality with a customer-service orientation</li>
<li>Proficient in Google Apps and other calendar/meeting applications</li>
<li>Demonstrates curiosity about AI tools and emerging technologies, with a willingness to learn and leverage them to enhance productivity, collaboration, or decision-making</li>
