The Role ThoughtSpot is evolving its Facilities function into a modern Workplace Experience & Environments organization. The Workplace Operations Specialist plays a key role in ensuring our offices operate smoothly, efficiently, and consistently across regions. This is an execution-focused role for someone who already understands workplace or office operations and can independently manage day-to-day responsibilities. You’ll partner closely with Finance, Workplace leadership, Office Managers, and vendors to keep operations running well and to support high-visibility office initiatives. This role is not responsible for setting strategy — but it is responsible for making sure strategy actually works in practice. What You'll Do: Workplace Operations Support daily workplace operations across global offices (US, India, EMEA) Coordinate vendors, including maintenance, cleaning, security, AV, and office services Track and manage workplace issues through resolution with minimal oversight Support safety, access, and basic compliance activities Operational Rigor & Process Maintain accurate trackers for vendors, service schedules, and workplace requests Follow established SOPs and help improve them over time Identify recurring issues and escalate with clear context and recommendations Financial & Vendor Support Partner with Finance on invoice tracking, purchase requests, and vendor payments Maintain visibility into workplace spend and upcoming renewals Support contract tracking and vendor performance management Office Experience & Projects Partner with Office Managers and Site Leaders to support on-site needs Support office refreshes, moves, and renovation projects (Mountain View and Chicago) Help ensure offices reflect ThoughtSpot’s brand, standards, and employee experience goals What Success Looks Like (6–12 Months): Day-to-day workplace operations run smoothly with minimal escalation Vendors are well-managed, accountable, and cost-effective Workplace data and spend tracking are accurate and reliable Office teams trust this function to execute consistently You’re ready to take on increased ownership as the function scales What You Bring: 3–5 years of experience in workplace operations, facilities coordination, office management, or related roles Ability to manage multiple operational workstreams independently Strong organizational skills and attention to detail Comfort partnering with Finance and cross-functional teams Calm, practical problem-solver with strong follow-through #LI-Hybrid #LI-JV2 Mandatory and Required Skills for All ThoughtSpot Roles Spotters are expected to demonstrate AI literacy and workflow integration to include to ability to: Comfortably and confidently integrate artificial intelligence into their daily workflow to increase productivity and quality. Hands-on experience to leverage AI tools (industry-leading LLMs) to increase productivity, automate routine tasks, and improve work quality. Speak to the experience of using AI for research, content creation, and document summarization while maintaining ownership of judgment and final decisions. Write effective prompts to get the most accurate and creative results from AI tools.
